Brand Usage Authorization and Compliance Protocol
Purpose
The purpose of this protocol is to establish standardized operational procedures for requesting, approving, monitoring, and enforcing the authorized use of Parami University’s brand identity and trademarks, in accordance with the Brand Identity and Trademark Policy.
Scope
This institutional protocol applies to all members of the Parami University community, including staff, faculty, students, contractors, and any individuals or representatives acting on behalf of the University.It also applies to all external parties, partners, vendors, and collaborators seeking authorization to use Parami University’s brand identity or trademarks.
Referenced Laws, Regulations, and/or Policies
This protocol implements the directives set forth in the Brand Identity and Trademark Policy and aligns with the Media and Public Relations Policy.
Process
Brand Usage Authorization
a) Internal Users (Staff, Faculty, Students)
All internal requests to use Parami University’s brand identity or trademarks must be submitted to the Communications and PR Unit at communications@parami.edu.mm.
Requests must include the purpose of use, intended audience, platforms, duration, and draft designs or mockups where applicable.
Written approval must be obtained prior to public distribution or publication.
b) External Users (Third Parties)
External parties must submit a formal written request outlining the scope, purpose, and duration of brand usage.
Where applicable, external users are required to sign a brand usage or licensing agreement.
Brand assets may only be used strictly within the approved scope, format, and timeframe.
Review and Approval
All materials incorporating Parami University branding must be reviewed and approved by the Communications and PR Unit prior to release.
Substantial revisions or changes require resubmission for approval.
Approval does not exempt users from compliance with other institutional policies, including privacy, data protection, and communications policies.
Compliance and Monitoring
The Communications and PR Unit is responsible for monitoring brand usage across all platforms and media.
Non-compliant or unauthorized materials must be corrected or withdrawn immediately upon notification.
Repeated or serious violations may be escalated to senior management for further action.
Incident Management
Any suspected misuse, infringement, or unauthorized use of Parami University’s brand identity must be reported promptly to the Communications and PR Unit.
The Unit will assess risks, initiate corrective measures, and recommend disciplinary or legal action where necessary.
Review
The Office of Institutional Advancement is responsible for working with relevant University offices to ensure compliance with this protocol and to maintain appropriate records supporting institutional accountability and legal protection.
