Media Engagement and External Communications Protocol
Purpose
The purpose of this protocol is to establish operational standards for engaging with journalists, media organizations, and external communication channels, in accordance with the Media and Public Relations Policy.
Scope
This institutional protocol applies to all members of the Parami University community, including staff, faculty, students, and any individuals or representatives acting on behalf of the University who are involved in external communication or media engagement.
Referenced Laws, Regulations, and/or Policies
This protocol implements the directives set forth in the Media and Public Relations Policy.
Process
Media Inquiry Handling
All media inquiries must be directed to or reported immediately to the Communications and PR Unit.
Journalists seeking interviews with the President, faculty members, staff, students, or any University representatives must submit an official interview request to communications@parami.edu.mm.
Upon receipt of a media inquiry, the Communications and PR Unit shall review the request and notify the relevant department head for further consideration.
Approval and Decision-Making
The relevant department head shall determine whether the University will participate in the requested media engagement.
In consultation with the Communications and PR Unit, the department head shall determine the most appropriate communication format, which may include, but is not limited to, press releases, press conferences, press seminars, media interviews, or briefings with specific journalists.
No media engagement may proceed without approval through this process.
External Communication Standards
All public statements, interviews, and media materials must be accurate, consistent, and aligned with the University’s institutional messaging and values.
The disclosure of internal, confidential, or sensitive information without authorization is strictly prohibited.
Risk Management and Crisis Prevention
The Communications and PR Unit is responsible for identifying potential communication risks and minimizing legal, reputational, or institutional exposure.
Any media-related issue that may cause misunderstanding, controversy, or harm to the University’s reputation must be reported immediately to the Communications and PR Unit for assessment and action.
Review
The Office of Institutional Advancement is responsible for working with relevant University offices to ensure compliance with this policy.
